The Challenge
The organization’s work was in demand, more than it could deliver. To reach more schools while protecting quality, it needed to scale, and scaling meant technology choices: which products to build, which vendors to trust, and where AI could take on work staff were doing by hand. Every one of those choices had a cost. The wrong tool could add complexity, commit the organization to spending it couldn’t sustain, or expose school and student data to security risks.
At the same time, a newly appointed Executive Director was stepping into the role. She had to make decisions that would shape the organization for years, without a long history in the organization or an in-house technical team to test her options.
Our Approach
We served as a trusted thought partner to the new Executive Director and her leadership team. Our job was to bring technical expertise into the room so decisions could be made quickly and with confidence.
First, we built a product and operational roadmap that held every option to three tests: what the technology can actually do, whether it is financially viable, and how well it fits the people the organization serves. That gave leadership one shared way to judge choices that might otherwise have turned into months of open-ended debate.
Next, we evaluated vendors and technology options, drawing on deep industry experience to assess how each tool would actually perform in the organization’s day-to-day work.
Because safe adoption matters as much as smart adoption, we reviewed AI use and data security across every product, vendor, and internal workflow under consideration. We looked at how each tool handles data, where AI introduced new exposure, and what safeguards needed to be in place before anything went live.
Finally, we turned strategy into action with implementation plans the team could start on right away, including clear milestones for moving from decision to rollout.
